What is WhatsApp automation?
WhatsApp automation is any setup where WhatsApp messages are sent or answered by rules or AI instead of by hand. There are three levels, and it helps to know which one you need before you look at tools.

What you can automate on WhatsApp
Most small businesses get the biggest win from the messages they answer again and again. Start with the one that costs you the most customers.

The last row matters more than it looks. Good WhatsApp automation doesn't try to answer everything; it answers what it knows and passes the rest to you.
Three ways to set up WhatsApp automation
There's no single best option. The right one depends on how many messages you get and how varied the questions are.
1. The free WhatsApp Business app tools
If you get a handful of messages a day, start here. In the WhatsApp Business app, open Business tools and set up:
- Greeting message: sent when a new customer messages you for the first time.
- Away message: sent outside your business hours, so nobody feels ignored.
- Quick replies: saved answers you send with a shortcut, such as
/priceor/address. - Catalogue: your products with prices and photos, so customers can browse before asking.
These don't understand questions; they send the same text every time. They're a good first step, and they're free.
2. A ready-made platform
When you need more, such as broadcast updates, several staff on one number, or simple chatbot flows, a WhatsApp platform connects you to the WhatsApp Business API without any coding. In India, providers such as AiSensy, Interakt, Wati and Gupshup offer this. These are the WhatsApp automation tools most guides compare.
You build flows with buttons and menus ("Press 1 for prices"). They work well when customer questions are predictable. They struggle when people type freely, which on WhatsApp is most of the time.
3. A custom AI assistant
An AI assistant reads the customer's message the way a person would, looks up the answer in your own information (stock list, price list, FAQs), and replies in plain language, in English or Hindi. When it isn't sure, it says so and alerts you.
This is the option for businesses where questions vary and the answers live in a sheet or system you already keep. It takes more care to set up, but it's the one that actually understands your customers.

A real example: an AI assistant that answers stock questions on WhatsApp
Here's an assistant I built for a small shop that sells phone and laptop skins, and the one I show in my weekly live demo.
- A customer messages at 11 PM: "Do you have the marble skin for the iPhone 15?"
- The assistant reads the shop's stock sheet, the same sheet the owner already updates.
- It replies within seconds with the price and availability, and suggests a similar design if that one is sold out.
- If the customer asks something it can't answer, such as a custom order or a complaint, it tells them the owner will reply and sends the owner an alert with the chat summary.
Two things make this work in real life. The answers come only from the shop's own data, so it doesn't make up prices. And spending is capped, so a chatty customer or a spammer can't run up a bill.

What WhatsApp automation costs in India
There are up to three parts to the cost. Which ones you pay depends on the option you choose.
- Meta's WhatsApp charges. Through the WhatsApp Business API, Meta charges per message for templates you send first. In India, from January 2026, that's about ₹1.09 for a marketing message and ₹0.145 for a utility or authentication message. Replies to a customer within 24 hours of their last message are free. Rates change, so check Meta's pricing page before you budget.
- Platform fee. Ready-made platforms charge a monthly subscription, usually by features and number of users.
- AI usage. An AI assistant pays a small amount for each message it reads and writes. With sensible limits this stays small, but set the limits from day one.

Rules to follow so your number doesn't get blocked
WhatsApp protects its users from spam, and it's strict about it. These rules keep your number safe:
- Get opt-in first. Only message people who have agreed to hear from you, for example by messaging you first or ticking a box on your form.
- Use approved templates to start a conversation. On the API, any message you send first must use a template Meta has approved.
- Mind the 24-hour window. You can reply freely for 24 hours after the customer's last message. After that, you need a template.
- Avoid unofficial tools. Browser extensions and modified apps that automate WhatsApp Web break WhatsApp's terms and are a common reason numbers get banned.
- Watch your quality rating. If many people block or report you, Meta lowers your rating and can limit your sending.
- Keep the AI on your business. Since 15 January 2026, Meta doesn't allow general-purpose AI chatbots on the WhatsApp Business API. An AI assistant that answers questions about your own business, such as support, bookings, orders and stock, is allowed.
How to choose: a 5-question checklist
Answer these before you pay for any WhatsApp automation tools:
- How many messages do you get a day? A few: the free app. Dozens or more: the API.
- Are the questions predictable? Yes: menu-based flows work. No: you need AI.
- Where do the answers live? If they're in a sheet or system, the automation should read from it, so you never update two places.
- What should never be automated? Complaints, custom quotes and payments disputes should reach a person.
- Who will look after it? Someone needs to update the data and check the handovers.
